RESERVATIONS AND CONFIRMATIONS

Reservations are taken on a first come first serve basis. Tentative reservations are can be made by phone, via our website and in person at our office. Office Hours: Monday thru Saturday 8:30am to 4:30pm CST. To confirm your reservation a pre-payment of 50% of the total rent due must be received. Confirmation may be obtained at the time of reservation by credit card (Master Card or Visa). Upon receipt of your payment, a confirmation and guest agreement will be sent to you. Guests will be required to sign, date and return the guest agreement to us within 7 days of making their reservation. Payments for reservations must be made by the person named on the reservation.

BALANCE DUE

The balance of your total rent, including taxes and your security/damage deposit will be due 30 days prior to arrival. Balance due may be paid by Cash, Money orders, Master Card, or Visa. Personal Checks will only be accepted 45 days prior to arrival. We will automatically charge to the card on file the balance due 30 days prior to arrival if the final balance has not already been received.

CANCELLATION POLICY

If the unit is not re-rented for the cancellation period, the entire advanced rental payment will be forfeited. If the unit is re-rented, rent payments and balances paid, less the $150.00 cancellation fee, will be refunded upon confirmation by the new tenant. Transfer of reservations, whether to the same property at a different date or to a different rental property, will be treated as a cancellation. Travel Insurance is recommended for all reservations.

PROPERTY PROTECTION PROGRAM

As part of your stay you purchase a Accidental Damage Protection plan designed to cover unintentional damages to the rental unit interior that occur during your stay. The policy will pay a maximum benefit of $1,500. Any damages that exceed $1,500 will be charged to the credit card on file. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $1,500. Certain terms and conditions apply.

MAXIMUM OCCUPANCY / AGE REQUIREMENT

Each of our units have specified the maximum number of persons allowed, excluding infants. Please confirm the number in your group, as exceeding the maximum allowed will result in forfeiture of rent and/or Security/Damage Deposit and eviction. Absolutely no house parties allowed!! Use for occasions such as weddings, receptions, parties which increase the stated occupancy (even for a few hours) are strictly prohibited! Failure to comply will result in an immediate cancellation of the reservation, with forfeiture of all funds, and guests vacating the premises. We cater to family groups and cannot accept reservations for vacationing students. We do not rent to teenagers with or without chaperones. Singles under the age of 25 unaccompanied by a parent will not be permitted to register and will be subject to forfeiture of deposit. Any reservation obtained under false pretense will be subject to forfeiture of deposit and not permitted to register. Harmon Realty Vacation Rentals, LLC. reserves the right to deny occupancy, evict, and refuse refund at anytime to anyone who appears to be detrimental to the property.

CHECK-IN

Check-in time is after 3:00 PM CST and early arrivals will be asked to wait unless unit is ready ahead of time. Please register at our office located at 1402 Hwy 98 Mexico Beach, FL to receive key.

LATE ARRIVALS

If you will be arriving after office hours, your balance must be paid, rental agreement signed, and photo ID recieved otherwise, no keys or directions will be left in the after hours pick-up box. You will have to wait until the next business day to check-in.

CHECK-OUT

Our check-out time is 10:00 AM CST and is strictly enforced! All keys must be returned to our office and all persons and vehicles must vacate the premises. Please follow the check-out instructions posted on the refrigerator in each unit to avoid a deduction from your damage deposit. Late check-out may be available if your unit is not rented on your departure date. There is a $75.00 charge for late check-out and you must vacate and turn in keys to the office by 4:00 PM CST. Late check-out must be approved by the rental office the prior day.

RENTAL PERIOD

Weekly reservations run Saturday to Saturday. Nightly reservations (3 night minimum) are accepted up to 30 days prior to arrival during the Spring, Fall and Winter, and 7 days prior to arrival in the Summer. Weekly and monthly reservations are accepted up to one year in advance. Reservations made during the previous year are subject to possible increases in rate or change in availability.

MONTHLY RESERVATIONS

Some of our properties are availible for a monthly rate the months of November, December, January and February. Reservations of two months or longer are required. Tenants must make their own arrangements for mail service prior to arrival at the local Post Office: (850) 648-2208.

FURNISHING AND APPLIANCES

All of our properties are individually owned and are equipped and furnished according to the owners preferences. Rates, descriptions, bed sizes, inventories and furnishings, are subject to change without notice. Central air, heat, refrigerator, stove, microwave, washer and dryer are in all properties. All of our units are non-smoking! Please do not move furnishings or kitchen items to another unit or to the beach! You should bring your own beach items such as: chairs, toys, towels, etc. If you rearrange the furniture and do not put it back in the original position, you will be charged.

CLEANING

All units should be left in clean condition. A minimum $40.00 charge will be held from the Security/Damage Deposit if the unit is not cleaned upon departure (dishes washed and put away, garbage disposed of properly in outdoor containers, all food removed from unit and furniture in original position). Please refer to the check-out procedure posted on the refrigerator in all units to avoid additional charges.

MAINTENANCE

Please report any damages or problems with the unit as soon as possible to the rental office. No refunds will be given for equipment, tv, or appliance failure. We make every effort to keep each property and its equipment in good working order. In the event of a breakdown, we will strive to make repairs as soon as possible. Neither the rental agent nor the owner will be obligated to provide replacements or give refunds for the failure or absence of any item, or for any of the utilities.

HURRICANE EVACUATION

If a mandatory evacuation order is issued for the area that your unit is in, we will only charge for the nights you occupied the unit. If you chose to leave in a voluntary evacuation no refunds will be given. No refunds are given for early departures due to inclement weather.

PETS

Pets must be declared when making your reservation. If the unit does allow a pet there will be a pet fee of $75 and they must weigh less than 30 pounds (2 pet max). Pets are not allowed in or on any property that is not pet friendly. If a pet is discovered after check-in, occupancy will be terminated with no refund. After check-out, if there is evidence that a pet has been in a unit that was not approved or the tenant refused to disclose a pet staying on the property the total Damage/Security Deposit will be forfeited. Please remember to clean up after your pets to avoid extra cleaning charges.

RIGHT TO CHANGE RENTAL ASSIGNMENT

Properties are occasionally removed from our rental program on short notice due to change in ownership, or other changes made by the owner. Should this occur to a confirmed reservation Harmon Realty Vacation Rentals, LLC. reserves the right to assign a guest to a different rental unit other than the one confirmed. In such case: Harmon Realty Vacation Rentals would contact guest immediately to notify him/her of the change, and to offer the choice of either a cancellation with no penalty, or taking a replacement unit without further recourse, (replacement is not necessarily identical or equivalent). Harmon Realty Vacation Rentals would use due diligence, in all cases, to accommodate or assist renter. However, Harmon Realty Vacation Rentals liability is limited to the full refund of deposits and the waivering of the cancellation penalty. Guest hereby waives any claim against Harmon Realty Vacation Rentals, LLC. for specific performance and any damages, including but not limited to, special or consequential damages, resulting from transfer or cancellation by Harmon Realty Vacation Rentals, LLC.

RENTAL UNITS FOR SALE

In the event a rental unit is placed on the market for sale, we reserve the right to show the property by appointment. We will make every effort to schedule the showing at the guests convenience.

PERSONAL PROPERTY

Harmon Realty Vacation Rentals, LLC will not be responsible for the loss or damage of any personal items left in a property. Every effort will be made to return any items left, but we assume no responsibility for them. If items are found, we will be happy to return them, postage prepaid if we have a valid credit card on file. The cost of shipping plus a $20.00 wrapping and handling charged will be debited from your credit card account.

KEYS

Keys are to be picked up at our office (1402 Hwy 98, Mexico Beach, FL) and to be returned there upon departure. There will be a $20.00 charge for lost keys. There will be a minimum $60.00 charge for lock-out service after office hours.

LINENS

An initial linen supply (one set of towels per person and one set of sheets per bed) will be provided.

OFFICE HOURS

Our office hours are Monday thru Saturday 8:30am to 4:30pm CST. We are closed Thanksgiving Day, Christmas Day, and New Years Day.
