Rental Policies

Reservations and Confirmations

Reservations are taken on a first come first serve basis and can be booked online via our website or by calling our office. Office Hours: Monday thru Friday 8:30AM to 3:30PM CST, Saturday 8:30AM to 4:30PM CST, we are closed on Sunday. To confirm your reservation a pre-payment of 40% of the total rent due must be received. Confirmation may be obtained at the time of reservation by credit card. Upon receipt of your payment, a confirmation and guest agreement will be emailed to you. Guests will be required to sign, date and return the guest agreement to us within 7 days of making their reservation. Payments for reservations must be made by the same person listed on the reservation.

Balance Due

The balance of your total rent, including all taxes and fees will be due 30 days prior to arrival. Balance due may be paid by cash or credit card. Personal Checks will only be accepted 30 days prior to arrival. We will automatically charge the balance due 30 days prior to arrival to the credit card on file if the final balance has not already been paid.

Cancellation Policy

If the unit is not re-rented for the cancellation period, the entire advanced rental payment will be forfeited. If the unit is re-rented, rent payments and balances paid, less the $150.00 cancellation fee, will be refunded upon confirmation by the new tenant. Transfer of reservations, whether to the same property at a different date or to a different rental property, will be treated as a cancellation. Travel Insurance is recommended for all reservations.

Property Protection Program

Our properties and their contents are valuable and reasonable care should be taken with them during their rental. Our company, including the participating rental property homeowners we represent (we, our, us), is an additionally-insured participant in a Property Protection Program that reimburses certain costs for unintentional accidental damage to our properties during their rental occupancy. With our participation in this Program, except in certain circumstances, we may not collect and hold refundable pet, damage, or security deposits. We charge renters a non-refundable administrative fee to defer our costs for Program participation. If, during a renters occupancy, the renter or a member of renters party or renters guest causes any damage to real or personal property of our rental property as a result of unintentional accidental acts or omissions, the renter must notify our property management office at that time, and before check-out. For rentals that exceed the coverage limits of the Program, we may collect a supplementary refundable (net of any damage reimbursement) security deposit from renter upon check-in. Renter is liable to us for any damages caused by the renter or a member of renters party or renters guest that are not reimbursed to us or exceed the maximum per-incident limit of our coverage, and the credit card on file and/or any collected security deposit will be charged.

Maximum Occupancy / Age Requirement

Each of our units have specified the maximum number of persons allowed, excluding infants. Please confirm the number in your group, as exceeding the maximum allowed will result in forfeiture of rent and/or Security/Damage Deposit and eviction. Absolutely no house parties allowed!! Use for occasions such as weddings, receptions, parties which increase the stated occupancy (even for a few hours) are strictly prohibited! Failure to comply will result in an immediate cancellation of the reservation, with forfeiture of all funds, and guests vacating the premises. We cater to family groups and cannot accept reservations for vacationing students. We do not rent to teenagers with or without chaperones. Singles under the age of 25 unaccompanied by a parent will not be permitted to register and will be subject to forfeiture of deposit. Any reservation obtained under false pretense will be subject to forfeiture of deposit and not permitted to register. Harmon Realty Vacation Rentals, LLC. reserves the right to deny occupancy, evict, and refuse refund at anytime to anyone who appears to be detrimental to the property.

Check-In

Check-in time is 4:00 PM CST. Early arrivals will be asked to wait unless unit is ready ahead of time. Guest will be provided a lockbox code to access keys at the property on the day of check-in.

Check-Out

Check-out time is 10:00 AM CST and is strictly enforced! Keys must be put back in the lockbox at the property and all persons and vehicles must vacate the premises. Please follow the check-out instructions posted on the refrigerator to avoid any additional charges. Late check-out may be available if your unit is not rented on your departure date. There is a $100.00 charge for late check-out and you must vacate by 4:00 PM CST. Late check-out must be approved by the rental office the prior day.

Rental Period

Weekly reservations run Saturday to Saturday and are accepted up to one year in advance. Nightly reservations (4 night minimum) are accepted up to 45 days in advance during the Spring, Fall and Winter, and 7 days prior to arrival in the Summer. Reservations made during the previous year are subject to possible increases in rate or change in availability.

Furnishing and Appliances

All of our properties are individually owned and are equipped and furnished according to the owners preferences. Rates, descriptions, bed sizes, inventories and furnishings, are subject to change without notice. Central air, heat, refrigerator, stove, microwave, washer and dryer are in all properties. All of our units are non-smoking! Please do not move furnishings or kitchen items to another unit or the beach! Please remember to bring your own beach items such as: chairs, toys, towels, etc. If you rearrange the furniture and do not put it back in the original position, you will be charged.

Cleaning

All units should be left in clean condition. There will be a minimum $40.00 charge if the following items are not completed prior to check-out: dishes washed and put away, all garbage bagged up and disposed of properly in outdoor containers, all food and personal items removed from the unit, furniture in original position and sweep up any excess sand. Please refer to the check-out procedure posted on the refrigerator in all units to avoid additional charges.

Maintenance

Please report any damages or problems with the unit as soon as possible to the rental office. No refunds will be given for equipment, tv, or appliance failure. We make every effort to keep each property and its equipment in good working order. In the event of a breakdown, we will strive to make repairs as soon as possible. Neither the rental agent or the owner will be obligated to provide replacements or give refunds for the failure or absence of any item, or for any of the utilities.

Hurricane Evacuation

If a mandatory evacuation order is issued for the area that your unit is in, we will only charge for the nights you occupied the unit. If you chose to leave in a voluntary evacuation no refunds will be given. No refunds are given for early departures due to inclement weather.

Pets

Pets are not allowed in or on any of our properties. If a pet is discovered after check-in, occupancy will be terminated without refund. After check-out, if there is evidence a pet has been in a unit, there will be a minimum $500.00 charge.

Right to Change Rental Assignment

Properties are occasionally removed from our rental program on short notice due to change in ownership, or other changes made by the owner. Should this occur to a confirmed reservation Harmon Realty Vacation Rentals, LLC. reserves the right to assign a guest to a different rental unit other than the one confirmed. In such case: Harmon Realty Vacation Rentals would contact guest immediately to notify him/her of the change, and to offer the choice of either a cancellation with no penalty, or taking a replacement unit without further recourse, (replacement is not necessarily identical or equivalent). Harmon Realty Vacation Rentals would use due diligence, in all cases, to accommodate or assist renter. However, Harmon Realty Vacation Rentals liability is limited to the full refund of deposits and the wavering of the cancellation penalty. Guest hereby waives any claim against Harmon Realty Vacation Rentals, LLC. for specific performance and any damages, including but not limited to, special or consequential damages, resulting from transfer or cancellation by Harmon Realty Vacation Rentals, LLC.

Rental Units For Sale

In the event a rental unit is placed on the market for sale, we reserve the right to show the property by appointment. We will make every effort to schedule the showing at the guests convenience.

Construction

The Forgotten Coast is a growing area and is becoming most desirable. There is the possibility that construction projects may be in progress near-by during the time of your stay. We cannot predict when and where these jobs will begin or how long they will last. Therefore, we will not be held responsible and will not give compensation for any inconveniences due to construction in the area.

Personal Property

Harmon Realty Vacation Rentals, LLC will not be responsible for the loss or damage of any personal items left in a property. Every effort will be made to return any items left, but we assume no responsibility for them. If items are found, we will be happy to return them. The cost of shipping plus $20.00 for wrapping and handling will be charged to the credit card on file.

Keys

Guest will be provided a lockbox code to access keys at the property on the day of check-in. Guest will be required to put keys back in the lockbox when departing. There will be a $25.00 charge for lost keys. There will be $60.00 charge for after-hours lock-out service.

Linens

An initial linen supply of one set of towels per person and one set of sheets per bed will be provided. Guests are required to provide their own beach towels. Guests will be charged if linens and towels are damaged and/or missing after check-out.

Our office hours are Monday thru Friday 8:30AM to 3:30PM CST and Saturday 8:30AM to 4:30PM CST. We are closed on Sunday, Memorial Day, Labor Day, July 4th, Thanksgiving Day, Christmas Eve & Day, and New Years Day.
